Work sheets#
A work sheet is an invoicing batch inside a job: a set of work items closed and invoiced in one go. A job can have as many as it likes — which is how a long job gets invoiced in stages.
You will find them on the Pracovní listy (count) tab in the job detail (Moje firma → Agenda → Zakázky, the Detail button).
What the screen looks like#
The list of sheets is on the left, the work grid of the selected sheet on the right.
| Part | What it holds |
|---|---|
| left column | the sheets in three groups, the totals and the invoicing box |
| right column | the work grid — row after row, like a spreadsheet |
The sheets are split into three collapsible groups:
| Group | What is in it |
|---|---|
| Rozpracované (in progress) | sheets still being written into |
| Uzavřené — čekají na fakturu (closed — waiting for invoice) | finished but not yet invoiced |
| Vyfakturované (invoiced) | finished and billed; the group starts collapsed |
Underneath is a summary of the whole job: Prací celkem (work items in total), Σ hodin (hours), Nevyfakturováno (uninvoiced) and Vyfakturováno (invoiced).
Switching sheets does not lose what you have typed
Every sheet's grid is loaded at once and the switch only changes which one is visible. So you can start typing hours on one sheet, hop to another and come back — nothing is discarded until you press Uložit (save).
Not seeing the sheets does not mean the job is empty
The message Pracovní listy této zakázky nevidíte (you cannot see this job's work sheets) means a missing permission, not an empty job. The sheets may well be there. Ask your system administrator for access.
A sheet's row#
| Element | What it does |
|---|---|
| handle | drag to reorder the sheets (only the in-progress ones) |
| k fakturaci (to invoice) | a checkbox — picks the sheet for the next invoice |
| name | can be rewritten straight in the row |
| summary | "5 prací · 12 h" and the total price |
| chip | k fakturaci / přeskočit (skip) / the issued document's number |
| actions | Uzavřít list (close) · Znovu otevřít list (reopen) · Smazat list (delete) |
A new sheet is created with Přidat list (add sheet). It names itself
(Pracovní list 1, Pracovní list 2…) and is activated straight away so you can start
typing; rename it afterwards.
Only an empty, unlocked sheet can be deleted
The administration asks Opravdu smazat tento (prázdný) pracovní list? and refuses a sheet holding even a single undeleted work item, as well as a closed or invoiced one. To get rid of a sheet with work on it, delete its rows first.
Reopening an invoiced sheet does not cancel the invoice
The administration warns: List je VYFAKTUROVANÝ — faktura zůstane beze změny, ale hodiny půjdou znovu editovat. Rewritten hours never reach the finished document and the sheet and the invoice end up disagreeing. Fix an amount with a credit note, not by rewriting the sheet.
Reopening is a separately granted action
Without the permission the button is not shown, and the server refuses it even if you reach it by a link. Your system administrator grants it.
The work grid#
Each row of the grid is one work item. A row has two zones — what was done on the left, a tinted money block on the right.
| Column | Zone | Purpose |
|---|---|---|
| # | — | row number |
| Název (name) | work | required; without it the row will not save |
| Služba (service) | work | an item from the price list, or — bez služby — |
| Stav (status) | work | Nová / Probíhá / Čeká / Hotovo / Zrušeno |
| Datum (date) | work | when the work was done |
| Popis (description) | work | what you did |
| Odhad h (estimated hours) | money | what you expected |
| Hodiny (hours) | money | hours actually worked — the price is computed from them |
| Sazba/hod (hourly rate) | money | if empty, filled from the service on creation, otherwise from the company |
| Ruční cena (manual price) | money | overrides the calculation from the rate |
| DPH % (VAT) | money | a rate for this row only |
| Fakt. (billable) | money | whether the item goes onto the invoice |
| Cena (price) | money | the result; computed by the server, not editable |
Rows are added with Přidat řádek (add row); next to it is a řádků najednou (rows at a time) stepper that adds several at once.
The grid is driven from the keyboard
The hints sit right above it: Tab / ⇧Tab move between cells · Enter add rows · ↑ / ↓ move within a column · Ctrl+D copy the value from above · Ctrl+⌫ delete the row · Esc revert the cell being typed · Ctrl+S save. A day's work can be entered without touching the mouse.
How the price is calculated#
The price is always computed by the server, never by the browser, and it goes like this:
- if Ruční cena is filled in, that is the price;
- otherwise Hodiny × Sazba/hod, rounded to two decimal places.
The rate is filled in once and then stays
An empty Sazba/hod is copied from the service or from the company profile when the work item is created, and never changes by itself afterwards. Change the rate in the price list and old items keep the original one — which is correct, because they may already be on an invoice. To apply a new rate to an unfinished item, rewrite it on the item itself.
Price from hours, or fixed — not both
A filled-in Ruční cena overrides the rate calculation completely. So enter flat-rate work as a manual price and leave the hours empty, or fill them in purely for your own overview.
A per-item VAT rate#
An empty DPH % field means use the default — and the number that will be used is shown right there as a hint. It is looked up in the order client → company.
Zero is a valid value
0 means a zero rate, for reverse charge for instance. An empty field means "use the default". They are not the same thing and the system stores them differently.
Comments on a work item#
Every row has a Komentáře (comments) icon that opens a thread for that one item. The comments are shared between you and the client: both see everything, chronologically from the oldest.
| Property | Value |
|---|---|
| who writes | you in the administration, the client on the site under their jobs |
| characters at most | 5,000 |
| editing and deleting | not available |
| email notification | none is sent |
Unread posts from the client show as a red badge with a count next to the icon (Nepřečtené komentáře: 3).
You will not learn about a new comment until you open the job
The module sends no email and no other notification about comments. The only sign is the badge on the work item's row. If a client is waiting for an answer, they wait until you open the job detail yourself — go through your open jobs regularly.
Read applies to the whole company, not to you
The badge goes out the moment anyone in the administration opens the comment window. If a colleague opens it and does not reply, nothing will remind you again.
Comments become available only after the row is saved
On a freshly added work item the icon is greyed out with the explanation Komentáře budou dostupné po uložení řádku. Save first.
Nothing is moderated
Whatever the client writes is visible at once. There is no moderation here — the comments are not public, only that one client and your administration see them.
Closing a sheet#
Uzavřít list is a manual step: the sheet is locked against writing and moves to the Uzavřené — čekají na fakturu group. The administration asks Opravdu uzavřít tento pracovní list? Dál ho nepůjde editovat, jen znovu otevřít.
A banner appears above a locked grid:
| State | What the banner says |
|---|---|
| closed | List je uzavřený (čeká na fakturaci) — jen ke čtení. |
| invoiced | List je vyfakturovaný (faktura č. …) — jen ke čtení. |
Closing before invoicing is not necessary
Invoiced sheets close themselves. Closing by hand is useful when you want to lock a sheet now and invoice later.
Invoicing#
- Tick k fakturaci on the sheets you want on one invoice.
- The Fakturace box shows "2 listy vybráno" and the Vystavit fakturu (issue invoice) button.
- A preview opens with a table — the columns List, Prací, Hodin, K fakturaci and a Celkem (total) row.
- Optionally tick Založit navazující pracovní list (create a follow-up sheet) and name it.
- Confirm with Vystavit fakturu.
The invoice carries one line per work item:
| Kind of work | Quantity | Unit | Unit price |
|---|---|---|---|
| hourly | the actual hours | hod | the hourly rate |
| with a manual price | 1 | ks | the manual price |
The seller and the number series come from the company profile. The document type and currency are looked up in this order:
- what is filled in on the job (the Fakturace section),
- otherwise the client's billing profile in the address book,
- otherwise the company profile.
Only items marked Fakt. and with a non-zero price reach the invoice
An item without Fakt. ticked is skipped — and so is one whose price is zero because it has neither hours nor a manual price. The preview warns about them with the line Prací bez odpracovaných hodin (na fakturu nepůjdou). Read it before you confirm: once issued, the sheet is locked and you cannot add the missing item to it.
The selected sheets close on issue
The preview says so: Vyfakturované listy se automaticky uzavřou. If you still have work left on a sheet, tick Založit navazující pracovní list — otherwise you will be creating a new one by hand.
Finish an interrupted issue; do not blindly start again
If the browser window closes mid-issue, the sheet stays in an in-between state. Start the invoicing again — the system recognises the document already exists and will not issue a second invoice; it writes Přerušené vystavení faktury bylo dokončeno … (žádná nová faktura nevznikla). Leaving the sheet in that state is the only option that ends badly.
If the preview does not load, do not invoice
The message Podklady faktury se nepodařilo načíst — zkuste to znovu means the table did not render at all — not that it is empty. Confirming without a checked preview means issuing a document blind.
Issuing an invoice is a separately granted action
Without the permission the button is not shown, and the server refuses even a direct form submission.
Postup: invoice a finished sheet#
- Open the job and switch to the Pracovní listy tab.
- In the grid check that the finished items have Hodiny (or Ruční cena) filled in and Fakt. ticked.
- Press Uložit (save).
- Tick k fakturaci on the sheet.
- Press Vystavit fakturu and go through the preview — do the counts of items, hours and the total add up? Is there a line about items with no hours?
- To carry on working, tick Založit navazující pracovní list.
- Confirm with Vystavit fakturu.
- The administration prints the document number; check it in Invoices.
It saves in parts and reports failures row by row
If some row fails to save, the administration prints Některé řádky se nepodařilo uložit: and names the sheet and the row number. The rest has been saved — fix the named row, not the whole grid.
