Warehouse — module overview#
Records how much of what you have and where. The e-shop takes availability from here; the warehouse itself sells nothing.
What it consists of#
| Part | Purpose |
|---|---|
| Stock items | the item register |
| Warehouses and batches | where goods sit, expiry dates |
| Stock documents | receipts, issues, transfers, stocktakes |
| Reservations | goods promised to orders |
| Suppliers | who you buy from |
| Margin report | what you earn on what |
| Vacations | when you do not dispatch |
| Module settings | warehouse behaviour |
Three numbers that get confused#
Every item carries three different quantities:
| Number | Meaning |
|---|---|
| In stock | what physically sits on the shelf |
| Reserved | promised to orders but not yet dispatched |
| Available | in stock minus reserved — what you can still sell |
Customers buy against available, not against stock
Ten in stock and eight reserved means a customer can buy two. When the e-shop says "sold out" while goods sit on the shelf, look at the reservations.
When stock changes#
Stock does not change when an order is placed. It changes at two moments:
- An order is created → the goods are reserved. Physically they are still in stock.
- The order moves to a status with "Confirm stock" (usually sent) → the goods are written off.
See Order statuses.
Skipping a status skips the write-off
Jumping from approved straight to done means the write-off never happened. The goods stay in stock even though they are with the customer — and the difference surfaces at the next stocktake.
Recommended order for the first setup#
- Warehouses — at least one.
- Suppliers.
- Stock items and their link to e-shop goods.
- The opening balance via a receipt, not by editing a number.
- A test order, checking that both the reservation and the write-off happened.
Enter the opening balance as a document
It is tempting to overwrite the number on the item. A document leaves a trace — in a year you will know where the quantity came from. Without one it cannot be verified.
Relationship to the e-shop#
A stock item and an e-shop product set are two things joined by a link. The item holds quantity and purchase price; the set holds the selling price and the description.
An unlinked item controls nothing
When an item is not linked to a set, the e-shop does not know about it and sells regardless of quantity. After creating new goods, check that the link exists.
