Stock documents#
Every change in quantity comes from a document. A document is the trace — who, when, how much and why.
Find them under Sklad → Doklady.
Document types#
| Type | What it does |
|---|---|
| Receipt | takes goods in — a purchase, a return |
| Issue | takes goods out — a sale, a write-off, own use |
| Transfer | moves between two warehouses |
| Stocktake | reconciles the records with reality |
The transfer is the only one working with two warehouses — subtracting from one, adding to the other.
Document status#
A document has a status. Until it is confirmed, it does nothing to quantities.
A draft document does no harm
You can draft a receipt when the goods arrive and confirm it once you have checked it against the invoice. Until confirmation, stock does not move.
🔴 A confirmed document is never edited or deleted#
A document is an accounting trace. Once confirmed, a change is not made by overwriting — you issue a reversal that cancels the movement, then a new document with the correct figures.
Deleting a confirmed document would break stock away from history
The quantity would change with nothing to explain why. Six months later nobody could find where twenty items went. So reverse, do not delete.
Where documents come from#
Not all are created by hand. Other modules can request one:
| Source | When |
|---|---|
| Manually | purchase, write-off, stocktake |
| E-shop | when an order enters a status with "Confirm stock" |
| Complaints | when goods are returned to stock |
The document shows where it came from. Do not hand-edit automatically created documents — you would break them away from the order they belong to.
A receipt#
- přidat → type receipt.
- Pick the warehouse and the supplier.
- Add the lines: stock item, quantity and purchase price.
- For goods with batches, enter the batch number and expiry.
- Check and confirm.
The purchase price is not an optional field
The average purchase price and the whole margin report are calculated from it. A receipt with a zero price means that item shows a hundred-percent margin.
A stocktake#
Reconciling the records with reality.
- Print the sheet with recorded quantities.
- Count physically.
- Enter the actual quantities.
- Confirm — the system settles the difference.
A stocktake overwrites the records without asking
Whatever you enter becomes the truth. A typo shows up as a loss or a surplus and is corrected only by another stocktake. Go through the figures before confirming.
Do stocktakes when nothing is moving
An order arriving mid-count distorts the difference. Ideally outside business hours.
Numbering#
Documents have series by type. The number is assigned on confirmation and never changes.
Movements#
Each document holds movements — the individual lines with quantities. A movement also stores the balance after the movement and the item name at that moment.
History is not rewritten
Renaming a stock item does not change old movements. That is deliberate: a document should show what it said at the time.
