Warehouses and batches#

A warehouse is where goods sit. A batch is one specific delivery of one item — with its own number, expiry and purchase price.

Find them under Sklad → Sklady.

Warehouses#

Field Purpose
Name and code how the warehouse is identified
Lead time how long goods from here take to reach the customer
Order which warehouse is written off from first
Affected by vacations whether vacations apply to it
Active a disabled warehouse is not offered

Name it sensibly even with only one

When a second one appears — a pickup point, a consignment store at a supplier — you will be glad the first is not called "Warehouse".

Warehouse order#

Decides where goods are written off from when they sit in several places. Put the one you dispatch from most often at the top.

Lead time#

Added to the delivery estimate the customer sees. A distant warehouse therefore offers a later delivery than the main one.

Batches#

A batch is one specific delivery. It is created by a receipt and carries:

Field Purpose
Batch number the supplier's designation
Expiry until when the goods are usable
Quantity how much of that delivery is left
Purchase price what you paid for it
Received on when it arrived

What they are for#

Expiry. With food, cosmetics or medicines you need to know what expires first.

Traceability. When a supplier recalls a specific batch, you need to know who you sold it to.

Accurate purchase price. Each delivery may have cost differently; an issue knows which batch it draws from, so the margin is right.

Without expiry or recalls, skip batches

For ordinary goods they are extra work with no benefit. Enable them where you need them.

Which batches are written off#

The system writes off from the oldest — what came first goes out first. For goods with an expiry that is also right in terms of shelf life.

An expired batch does not remove itself

It stays in the records and can be written off. Expired items must be removed with an issue by you — the system does not take them out of the records on its own.

But the system does warn about an approaching expiry

Every morning it checks batches whose shelf life is running out, and if the warehouse settings have an alert email filled in, it sends a report there. It does not remove the batch itself — it just warns you in time to deal with it.

Transfer between warehouses#

With a transfer document. It subtracts from one warehouse and adds to the other; the total quantity does not change.

A transfer is neither a sale nor a write-off

It does not appear in the margin report — you merely moved the goods.
