Calendars#

A calendar is the schedule of one person or one resource: it carries the working hours, the slot length and the booking lead time. The times the site offers a client are computed from it.

You will find them in Moje firma → Agenda → Kalendáře.

The calendar, not the company#

🔴 This is the thing that confuses most people about the module: the working hours used for bookings are not on the company, they are on the calendar.

The company profile does have working hours too — but those are merely printed for the visitor as the company's opening hours. The offer of free appointments is driven by the calendar's working hours.

Changing the working hours on the company does not change the offer of appointments

Print "open until 18:00" on the company profile while the calendar has hours until 16:00, and the last offered appointment will be at 16:00. To the client it looks like a broken website, and you find out from their email. Fill both places in together.

One company can have several calendars. Two employees = two calendars, each with its own working hours, its own colour and its own offer. In Schedules you switch between them with the Kalendář dropdown.

Fields of a calendar#

The working hours have seven rows (Monday to Sunday) and two intervals in each, so a broken day can be entered as well — 08:00–12:00 and 13:00–17:00, for instance. An empty day means no work that day.

Slot length is not a binding appointment length

It is only the step of the offer. On the site the client picks a range — a start and an end — and the server accepts a different length too, as long as it fits into the free time. A half-hour slot length therefore does not stop anyone booking an hour and a half.

The booking lead time eats into the nearest days

A lead time of 24 hours means the site will no longer offer today's appointments, nor tomorrow morning's. When clients complain that "it will not let me book for tomorrow", look here before you look at the working hours.

How free time is computed#

Free times do not come from a single number but from three layers. A day can be in one of three modes:

Mode of the day What is offered
Default the day has no record of its own — the calendar's working hours apply
Daily override at least one window exists for the day — only those windows apply
Closed the day is explicitly closed — nothing is offered

What is occupied is then subtracted from what is offered:

free = windows − reservations − blocks

As soon as one window exists for a day, the default working hours stop applying to that day

This is the most common source of surprise. A day in daily override mode follows only its own windows — the calendar's working hours are no longer used for it at all. The administration protects you here: when you use Otevřít okno (open a window) in Schedules on a day that was still in default mode, the current working hours are saved as windows first, so the offer does not shrink. You can tell it happened because the day in the monthly overview flips from Výchozí (pracovní doba) to Denní přepis.

Postup: creating a calendar#

  1. Open Moje firma → Agenda → Kalendáře and choose Nový kalendář. (Quicker: Rozvrhy has a + Nový kalendář link next to the switcher.)
  2. Pick the Firma and fill in Název kalendáře — it will be visible in the switcher, so use the name of a person or a resource, not "Calendar 1".
  3. Choose a Barva — the week view tells the calendar lanes apart by it.
  4. Fill in the Pracovní doba for every working day; enter a break as the second interval.
  5. Set the Délka slotu and the Předstih rezervace.
  6. Tick Aktivní and save.
  7. Go to Rozvrhy, switch to the new calendar and check that the month shows free days where you expect them.

A calendar cannot be moved to another company

The company on an existing calendar does not change — the calendar already carries saved time slots and reservations that would still point at the original company after a move. If you want the calendar elsewhere, create a new one.

A deactivated calendar disappears from the offer, but its appointments do not

Unticking Aktivní stops the calendar being offered in Schedules and on the site. The reservations already in it do not cease to exist — you simply have nowhere to see them. Before switching a calendar off, go through its future reservations.

With no active calendar, Schedules shows nothing

It prints the message Firma nemá žádný aktivní kalendář — nejdřív ho založte. On the site it shows as a booking calendar without a single free day.
